NEW for 2007—Online Registration for Corporate Guests!
This year, we’ve been working with our new registration company, CompuSystems, Inc., to implement an online registration process for the Corporate Guest program. This will make it even easier for you to invite customers and prospects to Pittcon as guests of your company, and to manage your Corporate Guest attendance list.

Here’s how the Corporate Guest program works:

•      To simplify the process of Corporate Guest registration, you will be receiving a number of unique “one-time use” registration codes to use for your Corporate Guests. Each exhibitor will initially receive two Corporate Guest registration codes for each 10' x 10' booth rental and eight Corporate Guest registration codes for each seminar room rental.

•      Each unique registration code can be used for a single registration only.

•      In addition to your initial receipt of two Corporate Guests per 10' x 10' booth and eight per seminar room, you may request additional codes for as many invited guests as you wish. As long as your total of corporate guests and booth personnel does not exceed your total allotment of six (6) per 10’X10’ booth space rental plus twenty four (24) per seminar room rental (if applicable) you will not be charged. Any registrations (badges) in excess of your total allotment may be made at a pre-registration cost of $95 for the entire week. Only those codes that are actually used to register a guest will be counted against your allotment or charged to you if your allotment is exceeded.

It’s easy to invite your Corporate Guests to Pittcon.
Of course, the first step is to make sure your field people actually have the codes, and know what to do with them! After that, it’s simple.

All your customer contact person—usually a sales or service representative—has to do is to make sure each invited guest receives a registration code. They can send it via email, simply write it on a business card, or better yet, on a Pittcon brochure (which you can order online at www.pittcon.org).  We are also creating a downloadable email template that you can use to invite your Corporate Guests; or, you may prefer to prepare your own invitations.

It’s easy for Corporate Guests to register.

1.      Online. Corporate guests can pre-register online at www.pittcon.org. They should select one of the “Register Online Now” buttons, which will take them to the Conferee Registration Site. Once there, they simply enter their code in the registration form, fill out the form and will automatically receive their free registration for the conference.

      If they register by January 26, 2007, your guest will receive his/her badge in the mail. If they register after that date, the guest can pick up the badge at the show; they will need to bring the confirmation letter they receive after their online registration.

2.      On-Site. Corporate guests may also register on-site, but must bring their promotional code with them to receive free registration.

On-site Corporate Guest registration will be located in the Conferee Registration Area on the Expo Floor in the South Hall off the Grand Concourse on Level 3 of McCormick Place South. Your guest may register on-site by entering a valid Corporate Guest registration code on a Corporate Guest Registration form (blank forms will be available) and presenting the completed form to a Corporate Guest cashier/typist.

What about tracking and billing?

Pittcon will keep track of the specific codes that were issued to each exhibitor. Once registered a near real-time list of your Corporate Guest codes used and the names associated with each number will be available on the Exhibitor Registration Site, which can be accessed with each exhibitor’s User name and Password. You will also receive a confirmation notice whenever a registration is processed with a Corporate Guest registration code assigned to your company.

However, it is the responsibility of the exhibitor or their sales personnel to keep track of the specific Corporate Guest registration code given to each prospective guest. We strongly recommend that you keep a secured list of your invited Corporate Guests and their corresponding codes available in your booth during Conference Week for reference in the event a Corporate Guest loses their code before registering.  Alternatively, you might want to check in a copy of your list to Jennifer Cassidy in the Pittcon Registration office, eliminating any need to contact your booth in the event a code is lost prior to registration. You will not be held responsible for any codes that are not actually used for registration. However, your company will be invoiced for all badge registrations processed that exceed your booth rental/seminar room rental allotment.
